The Mechanics Posted Hours report provides a performance overview of each mechanic by comparing billed time with clocked time. It helps shop owners and managers evaluate technician efficiency, job volume, and total labor sales within a selected time range.


Report Overview

The report pulls mechanic time data based on your configured Labor Hours Data settings. Data is recorded when:

  • A job is marked as Completed

  • The repair order (RO) is Completed

  • The RO is Posted

  • The RO is Sent to A/R


(Depending on your selected configuration.)


Filters & Search Options

At the top of the report, you can filter data using:

  • Mechanic Name search

  • Time filter (All Time, Today, Last Week, Last Month)

  • Start Date and End Date

  • Refresh icon


These filters allow you to analyze performance for specific technicians or time periods.


Understanding the Report Table

The main table displays the following columns:

  • Mechanic

  • Billed Time

  • Clocked Time

  • Efficiency

  • Total Jobs

  • Total Labor

  • Total Labor Sales

  • Action


At the bottom of the table, you will see a totals section displaying:

  • Total Billed Time

  • Total Clocked Time

  • Total Jobs

  • Total Labor

  • Total Labor Sales


This provides a consolidated performance summary across all technicians.


This helps determine whether technicians are:

  • Working efficiently

  • Under-billing labor

  • Spending time on non-billable tasks


Viewing Mechanic Details

Click View Details under the Action column, a detailed breakdown screen opens for that specific technician.


This view provides job-level visibility into billed and clocked time, allowing you to audit individual entries and validate efficiency calculations.


Filters & Controls

At the top of the detail screen, you’ll find:

  • Group by Job toggle

  • A dropdown filter to search against RO Number, Job, Labor, Customer Name, Phone Number, or Vehicle License Plate

  • Customer Filter

  • Time Filter

  • Start Date and End Date.


These controls allow you to isolate and analyze specific repair orders, customers, or time periods.


The table provides line-by-line visibility into posted labor activity.

Columns include:

  • Date 

  • RO

  • Job 

  • Labor

  • Billed Time

  • Clocked Time

  • Customer

  • CC

  • Vehicle

  • Actions 


At the bottom of the table, you’ll see:

  • Total Billed Time

  • Total Clocked Time


These totals reflect only the filtered data currently displayed on the screen.


You can customize the report by choosing the desired columns from Select Columns in the top right corner. All columns are mandatory and cannot be deselected. However, you can add the Efficiency column from the dropdown menu.


When to Use This View

This detailed report is particularly useful for:

  • Auditing labor discrepancies

  • Verifying technician time entries

  • Reviewing commission-based performance

  • Investigating unusually high or low efficiency values

  • Resolving payroll or billing disputes

FAQs

How is efficiency calculated in the Mechanics Posted Hours report?

Efficiency is calculated as: (Billed Time ÷ Clocked Time) × 100. If billed time exceeds clocked time, efficiency will be above 100%. If clocked time is higher than billed time, efficiency will be below 100%.

Why is efficiency showing 0%?

Efficiency will display as 0% if no clocked time is recorded for the selected period or if billed time is zero.

What determines when hours appear in this report?

The report reflects data based on your configured Labor Hours Data setting. Hours are captured when a job or repair order reaches the selected status (Completed, RO Completed, Posted, or Sent to A/R).

Why might billed time be higher than clocked time?

Billed time may exceed clocked time when a technician completes a job faster than the standard labor time. This can occur when experienced technicians work efficiently or when flat-rate labor times are applied.

Can I analyze labor performance for a specific mechanic?

Yes. Use the Mechanic Name search or date filters to review performance for an individual technician within a selected time range.
