The Account Receivable (A/R) report provides a detailed view of invoices that still have outstanding balances. It helps you track unpaid repair orders, monitor how long invoices have remained open, and manage customer receivables.
This report is commonly used by shop owners, managers, and accounting teams to monitor overdue balances, generate account statements, and process outstanding payments.
At the top of the report, you can refine results using the following filters:
You can search receivables using different identifiers:
RO Number
Customer Name
Customer Phone
Vehicle License Plate
By default RO Number is selected. After selecting the search type, enter the corresponding value in the search field to locate a specific record.
Select a specific customer to display only invoices associated with that customer.
Use the date controls to review receivables for a selected period.
Options include:
All Time
Today
Last Week
Last Month
Custom Date Range (Start Date – End Date)
The report table displays detailed information about outstanding invoices.
Columns include:
RO
Invoice Id
Posted Date
Customer
CC
Vehicle
Total Amount
Remaining Amount
Days in A/R
Action
At the bottom of the report, you will see summary totals including:
Total Amount
Total Remaining Amount
These totals update automatically based on the filters currently applied.
To generate a customer account statement:
Select a row using the checkbox.
Click Account Statement in the top-right corner.
The system will generate a PDF statement showing:
Business information
Customer details
Invoice history
Total amount
Amount paid
Remaining balance
The statement opens in a separate window and can be downloaded or printed for record-keeping or customer communication.
You can process payments directly from the A/R report. Select the invoice using the checkbox. Click Take Payment.
The Enter Payment window will appear.
This window displays:
Customer information
Amount payable
Repair order details
Invoice total and remaining balance
Payment Methods Available
Select a payment method:
Cash
Check
Credit / Debit
After entering the payment details, click Process Payment to record the transaction.
Once processed, the invoice balance will update automatically in the A/R report.
Click Export in the top-right corner.
The export preview window will display:
Business information
Report title
Table data including:
RO
Invoice Id
Posted Date
Customer
Vehicle
Total Amount
Remaining Amount
Days in A/R
A totals section showing:
Total Amount
Total Remaining Amount
Click Export to download the report.
This export is commonly used for accounting records and receivable tracking.
Click Share next to the Export button.
The Share panel includes:
Report preview
Email field
Enter one or multiple email addresses and click Share to send the report directly.
This allows you to share receivable summaries with accountants, managers, or finance teams.
Days in A/R indicates how long an invoice has remained unpaid since it was posted. It helps track aging receivables and identify overdue balances.
Yes. Select the invoice row and click Account Statement. The system generates a PDF statement summarizing the customer’s outstanding balance and invoice details.
Yes. Select the invoice and click Take Payment to open the payment window and process the outstanding balance.
Yes. Once a payment is processed, the Remaining Amount and Days in A/R values update automatically in the report.
Yes. Use the Export option to download the report, which can be used for financial tracking, reconciliation, and reporting.
